Navigation and Permissions Updates
Platform Navigation
Platform Navigation. What does that mean? No more portals!!! We have now combined all the features that were split across the three different portals and combined them into one. That does mean that some items that you may be used to navigating to in a certain area have moved. This was done so that we could keep the navigation pane on the left organized in an easy-to-use way. We will be doing a phased release, so if you don’t see changes to your navigation yet, you will soon!
Platform Roles and Permissions
Platform Roles and Permissions is a significant revamp to the interface for creating and editing user roles in the platform. The changes that have been made are intended to drastically reduce the time and effort it takes to create and edit roles in the platform. We will be doing a phased release, so if you don’t see changes to your navigation yet, you will soon!

Platform Updates
Data Update Coming: Your Equipment Assets = Equipment Type
Data classification is important for supporting your employees in a more efficient workflow, in better reporting and informed decision making and in feeling good about the integrity of your data. Our platform has long had the option to classify your assets as Tools or Materials, Kits or Bulk Items. And now, as our customers’ needs grow and evolve, we have introduced Equipment as an asset type. Everyone’s data will be updated for you so that you don’t have to. Assets that are utilizing fields in the item detail equipment tab such as license tag, vin, meter, etc. will be transitioned to equipment. Once this is complete, you can start taking action on reporting on and informing your decision making when it comes to how you manage your equipment. Stay tuned for more on this, and on Equipment Management in our platform!

Did You Know?
You can transfer an asset to designate it as Personal Issue (PI)
Sometimes your employees work with assets that are assigned to them throughout their tenure (e.g., keys, cell phone, PPE). These items may be designated as “Personal Issue” (or PI) in ToolWatch.
Enterprise customer? You can use Custom Reports to identify all items with the personal issue flag set.
How do you do that?
- Open a Transfer Ticket.
- Add the asset to this transfer
- Find the asset on the Transfer Ticket. Click on the box under the column PI to assign this tool as Personal Issue. You should see a checkmark in the box.
- Process this ticket. This tool now shows the PI designation in its Tool Record, on future transfers, etc.
Quantity items should not be retired
Retiring a quantity inventory record does not provide any value and can sometimes cause confusion.
The best practice for quantity inventory items is to perform an inventory adjustment. Performing an inventory adjustment on quantity items is a more accurate reflection of your real-world inventory and will help you keep your data clean and useful.
Billing streams are like light switches
Sometimes our customers ask "why do I have items that are still being billed on the billing browser"?
If this is happening to you, you have an open billing stream that was not closed on a transfer.
Think of billing streams and a light switch. When a cost center is on the TO side of a transfer, that’s flipping the light switch ON. When a cost center is on the FROM side, it is flipping the light switch OFF.
In the billing browser, you can view the details of that open billing stream and find the transfer that flipped the switch to open the billing stream. All you have to do is process that transfer with that cost center on the From side of the transfer and the date and time after the original billing stream was opened.
